Description/Job Summary

Providing document processing services such as creating, editing and otherwise manipulating legal documents and other work products for attorneys throughout the Firm.

Responsible for effective workflow within the department to ensure deadlines and expectations are met. 

Responsibilities/Duties
  • Monitoring workflow and ensuring all document requests are processed within required timescales and to the quality and standard required, negotiating deadlines and managing expectations as necessary.  Closely liaising with the Secretarial Manager regarding workflow and other issues.
  • Creating and revising legal documents to Firm’s specifications using the Firm’s latest software and version of MS Office.
  • Producing financial statements, flow charts, presentations, letters and other documents, marking for cross references, Table of Contents, Table of Authorities, defined terms, and indexing.
  • Scanning and formatting documents; converting documents to/from different software packages, transcribing tapes, producing mail merge documents, creating closing sets, CD labels and fillable-pdf forms, and preparing document comparisons.
  • Designing and implementing presentations, multimedia projects, posters, covers, and producing graphics for proposals.
  • Troubleshooting document issues.
  • Proofreading work for quality, ensuring accuracy and correct formatting and brand compliance where appropriate.
  • Collaborating and conferring with stakeholders and subsequently researching, proposing and implementing specific document solutions as required.
  • Initiating improvements in documents.
  • Managing multiple projects with revolving deadlines.
  • Performing other duties as requested, directed or assigned.
  • Maintaining an accurate diary log of all work performed.
  • Providing technical document support / training to the secretarial department as required.
  • Supporting and assisting the secretarial department as required.
  • Developing and maintain SharePoint sites/libraries.
Required Skills
  • 2 to 4 years of relevant experience in a Word Processing/Document Production environment required. 
  • Knowledge of software specific to the legal industry, i.e. iManage, Numbering Schemes, Workshare.
  • Basic math skills.
  • Ability to comprehend numerous software applications at an advanced level including Excel and PowerPoint.
  • Although not essential InDesign experience would be an advantage.
  • Ability to edit, proofread and implement in-line changes.
  • Advanced understanding of technical documents.
  • Advanced documentation layout and formatting skills.
  • Highly motivated, independent individual with a flexible and proactive approach.
  • Meticulous attention to detail.
  • Strong analytical and problem solving skills.
  • Strong customer service skills with the ability to communicate at all levels and ability to effectively present information verbally and in writing.
  • Ability to use discretion with sensitive and confidential information.
  • Ability to effectively prioritize and plan work activities and meet deadlines in high pressure environment.
  • Ability to work effectively within a team as well as independently and adapt to changing work requirements.
  • Ability to work under pressure when required which will involve some flexibility as there may be a requirement to work beyond working hours.
